Mentor of ARISIA

Volume 12, Issue 96; April 2000

Minutes of the May Meeting

Be it known, that with only 6 people showing up to the meeting, and failing to meet quorum by two people, the Chair of the Meeting saw no point in calling the Meeting to order; no business was conducted.

EBoard Report 15 May 2000

Present at this impromptu EBoard Meeting are Noel Rosenberg, Cris Shuldiner, Skip Morris, Tom Murphy and Nicholas Shectman. Waivers of Notice are on file from Elka Tovah Menkes and Paul Selkirk.

The EBoard gave it's OK to loan appropriate equipment to CostumeCon.

The EBoard decided not to make a specific line item in the Convention Budget to cover damage to artwork coming to, at, or leaving the Convention.

The EBoard decided that there was no substantial gain to be made from changing the policies regarding Art Show Sales.

The EBoard decided, since the events that precipitated the question of developing a policy to handle theft and/or damage of/to the art submitted to the ARISIA Art Show have been accounted for in other ways, that no specific policy was required at this time.

With regard to Smoking on Dealer's Row, the EBoard has closed the issue for the time being, as the sixth floor of the hotel, with the suite recognized as being best for hosting Con Suite and therefore designated to be the Dealer's Row floor, has been designated by the Hotel to be a non-smoking floor. The EBoard will revisit this issue if and when the Hotel's policy changes (or we change hotels).

The EBoard reports unfavorably on the motion to shift the responsibility of collecting the Dues of the Membership from the Treasurer to the Clerk.

Since it is apparent that mail to the Corporation and Convention is getting misplaced or misaddressed, the following is suggested as Corporate Policy:

Except for moving mail from the corporate mailbox to a designated unsorted mail repository in the corporate office, mail shall not be removed from the corporate mailbox or mail repository unless copes are sent to all interested parties within three days. When forwarded, mail shall be sent to at least two destinations, one of which may be the clerk's or Treasurer's files. Mail may be forwarded physically or by fax. Mail may be left in designated office mailboxes only if the recipient so authorizes. Junk mail may be discarded. This policy shall apply to both corporate and convention-related mail.

To this purpose, the EBoard is considering the purchase of an inexpensive flatbed photocopier for office use.
