Minutes of the July Meeting

Date, Time and Place: This General Meeting of the Membership was called to order at 2:30 PM Sunday, 20 July 2003 at The Usual Room at MIT Building 66.

In Attendance: Bridget Boyle, Buzz Harris (New Member), Joelll Herda, Elisa Hertel, Walter Kahn, Rick Kovalcik, Alexander Latzko, Ben Levy, Tom Murphy, Julia Tenney, and Carsten Turner.

Noel Rosenberg to Alex Latzko, unrestricted.

Minutes of the Previous Meeting

Several corrections were offered:

MOVED to correct the minutes of the meeting, from the heading of "Minutes of the March Meeting," with a given time and place, to "Minutes of the June Meeting," with a date of Tuesday, 17 June 2003, and the given time and place.

Motion CARRIES

MOVED to correct the minutes of the meeting, replacing the entire proxy text with the following: "Bridget Boyle gives her unrestricted proxy to Alex Latzko for when she is unavailable to vote."

President's Report (Joelll Herda)

The EBoard met to interview the sole candidate for ConChair A'05. The EBoard also discussed the purchase of some fairly costly projector bulbs - three bulbs are available at a current price of $165.00 each; the old price was $125.00 each. These bulbs are getting obsolete, rare, and expensive, and the thought was that it would be best to buy them now. Finally, a copy of the contracts for the Tim Powers Book Project delivered at this meeting.

Not Present / No Report. It is reported by a member of the Budget Committee that there was supposed to be a budget meeting last week, but it didn't occur and will be rescheduled to some time within the next two weeks.

Clerk's Report (Paul Selkirk)

Not Present / No Report. In the place of the Clerk, Merv, as ClerkStaff, ran through the usual spiel, noting that in lieu of a sign-in sheet, attendance would simply be taken; that reports and motions should be submitted in writing or suffer the possibility of transcription errors; that major items of new business be presented to the EBoard for consideration before presentation to the Membership; and that dues for joining the Corporation are $4 at this meeting and $2 thereafter.

Convention Chair '03 (Skip Morris)

Convention Treasurer '03 (Alex Latzko)

The last bill for A'03 has authorization for payment - it's the Coat Check guarantee for $600; Alex is working with Heather to pay it. Also, there are $350 in uncollected instruments that are still in collections.

Convention Chair '04 (Carsten Turner)

Arisia '04 is always looking for volunteers; speak with Carsten Turner. Party-Hosts are needed for TorCon 3, being held in Toronto, CANADA. Division Heads for the Marketing Division and the Publications Division (two separate divisions).

Convention Treasury '04 (Alex Latzko)

Treasury now has a checkbook. The Head of A'04 Registration, the Reg Software Producer, and the Convention Treasurer A'04 will meet to discuss the pending MOU and migrate the data.

Corporate Inventory Control (VACANT)

This position is still vacant; interested folks should speak with the President. No Report.

The Tim Powers Book Project business continues, with Joelll and others proofing the proposed contracts.

The MOU for StoneKeep Consulting has not been developed yet.

New Business

MOVED to confirm Buzz Harris as Convention Chairperson for Arisia '05.

Discussion ensued; consisting of a Q&A session with Buzz.

Secret Ballot called; tally 9-1-1; motion CARRIES

Buzz Harris is confirmed as the Convention Chairperson for Arisia '05.

Announcements

Buzz announces his Fan GOH as Victor Raymond, two-time Convention Chair of Mini-Con, in Minnesota.

The next meeting will be held at the residence of Skipper Morris, directions follow.

Joelll announces that he has signed the contracts relevant to The Tim Powers Book Project for Arisia '04.

In Time For The Next Meeting

Lisa offers this idea:

"Meeting dates, locations and times shall be set quarterly (Sept., Dec., March, and June) for the following 4 months." For example, in September we'd set Oct-Jan.; in December, Jan-Apr. (with Jan. already being set from Sept.), etc. Note this doesn't force the meetings into a specific time/date as a default; it just forces us to plan a bit head.

Subscription to Mentor of ARISIA is included with Corporate Membership to ARISIA, Incorporated. Membership runs from September 1st to August 31st and costs $24.00. Dues are pro-rated on a monthly basis for members joining during the year.

Left Brained Directions:
From Route 128 or I-495 drive north past Lowell into Nashua, New Hampshire on Route 3. Once into New Hampshire ignore the Route 3 signs since you're now on the Everett Turnpike and Route 3 exits the highway. Get off the highway at Exit 8, follow exit 8 as it loops around over the highway. Turn right at the second light onto Kessler Farm Drive. Follow Kessler Farm Drive all the way up the hill and start down the other side. Take the second right past the water tower on Stanstead Place. Skip is the first building on the left, number 39. Park along the grass anywhere, don't park in front of the buildings as those are private parking spots. Don't be confused if whilst on Kessler Farm Drive you cross Kessler Farm Drive; it loops back upon itself. Likewise if you miss Stanstead and find the other end. This place is one big maze, as long as you're near the top of the hill you're close by and you'll find it. Look for a car with a canoe on top of it. I'll have a barbecue grill fired up with all the usual fixings. If someone can tell me where to find them I'll even buy kosher burgers.
