This mailing of Mentor contains the printout of the current policies and bylaws of the corporation, which have been revised based on records and on some recollections of missing Mentors.  Acceptance of these policies and bylaws will be voted on at the March meeting. 

Quorum for the March meeting is 9, based on 51% of the attendance at the last three meetings, rounded up.  The March meeting will be on Sunday March 11 at the home of Karen Purcell.  Directions are on the back page of Mentor.

Minutes of the February Meeting

·         President’s Report

Thanks from NESFA for the loan of equipment to Boskone just past, and thanks to NESFA for use of the clubhouse.  [Review of clubhouse details – wireless, snacks, trash, parking.]

·         Vice-President’s Report – no report

·         Treasurer

’05- ’06 fiscal year taxes have been filed.  Between the beginning of ’05 and the beginning of ’06 we gained about $20K in our corporate accounts.

MSP (20 –3) to add to the grant fund to bring it up to an even $4K.

·         Clerk – no report

·         Eboard

The Eboard met by email and confirmed Don Eastlake as Convention Treasurer for Arisia ’08.

The Eboard made a motion in support of a 4 day con in ’08, consideration and discussion deferred to new business. 

Moved to make the policy of Arisia to allow rollovers and transfers of memberships, but not refunds.  After discussion – isn’t this already our policy?  And what about hardship cases?  referred back to eboard for further elucidation. 

Moved from Eboard report: to recommend to the corporation that we make a donation to Lunacon of up to $1000 towards up to 3 wireless credit card boxes, or of such swipe boxes that we would purchase, in honor of the 50th Lunacon.  Amended to: Moved to allow authorization for purchasing wireless credit card equipment (up to $1000), for the purpose of loaning to other organizations.   Passes unanimously.

·         A07 Conchair

We had a convention.  We didn’t lose money.

·         A07 Treasurer  - not present

·         Arisia ’08 Conchair

Current appointments: Jill Eastlake, assistant conchair; Phi, hotel liaison, a number of “maybe” divheads, Karen Purcell will be masquerade director. 

Concomm meeting will occur this coming Sunday, 2 pm MIT in the usual place.

·         Honors

We pass around a jar to collect money for Patri’s Girls education fund, to be matched (up to $250) by the corporation.

·         CIC

There was a fire on the floor above, but we got wet from their sprinklers, and the fire dept broke into our space to check it out.   Lost or damaged: archive t-shirts, computer monitors that we don’t use, paper records.

Door being replaced and rekeyed with matching key. 

We are negotiating damages with landlord and with Gentle Giant. 

NESFA was borrowing a lot of our gear at the time, which was fortunate.

Drape got wet.   MSP to authorize up to $1000 to clean (as necessary) and fireproof (all) drape – or replace if cheaper.

MSP to authorize up to $500 for additional truss and uprights to fit the backdrop for our current stage.

Insurance: We are supposed to have but we don’t have.  Lease requires it.  We need liability insurance and contents/renters insurance.  We need to get quotes.

Moved to transfer responsibility for liability insurance from the convention committee to the corporation – postponed for new business.

·         Old Business

No old business brought forward.

·         New Business

General discussion of 3 vs 4 day convention.  After 30 minutes or so of discussion, move to call the question and vote on the motion that it is the sense of the corporation that Arisia 08 should be a 4 day convention.   Passes 18-10. 

Move to require the treasurer’s report to include all accounts in a standardized format to be agreed upon later – fails due to objection to consideration.

Skip on behalf of Noel: moved to explicitly bar the convention committee from  holding a 4 day convention without further explicit authorization from the corporation membership  RK: out of order -- the only way to do this is for someone who voted in favor to move to reconsider. Vote to overrule the chair fails many to 1.

MSP to change the wording in policies from “vote on conchair in July” to “vote on conchair no LATER than July”.

MSP to change the wording in the Arisia party policy from “party for Arisia” to the less-ambiguous “party PROMOTING Arisia”.

MSP to transfer responsibility for liability insurance from the convention committee to the corporation. 

Moved to change the current rates to:

College student rate  $25 under 25 with ID

Prereg 1 $40  -- April 1 to  Sept 30

Prereg 2 $50 – Oct 1 to Dec 31

Prereg 3 $60  -- Jan 1 through at door

Year ahead $35

Party/promotional rate – less $5 on rate at time of party.

Discussion of Arisia historical rates ensues.

Move to amend the proposal to only change the at-con rate to $60.  Motion fails.

Move to amend the rate to make a family rate  -- ruled out of order.

Move to amend the rate increase to apply only if the convention goes to 4 days: fails many –2

Motion passes 15-8

In the next Mentor we will distribute the updated policies and bylaws.  If you have factual corrections please send them to eboard, with a source for the correction.  We will present them to be accepted by the membership at the March meeting.  Note that we are interested in historical correctness here; if you disagree with a policy, bring a separate motion.

Dr Karen reminds everyone who needs to, to medicate for allergies – dogs and cats in residence.

Subscription to Mentor of Arisia is included with Corporate Membership to Arisia, Incorporated.  Membership runs from September 1st to August 31st and costs $24.  Dues are pro-rated on a monthly basis for members joining during the year.

Directions to March Meeting

Karen Purcell, 32 Old Nashua Rd, Londonderry NH. 603-425-2793 The house is white with black shutters with an enormous 3.5 car garage at the end of the driveway.  The driveway will hold at least 9 cars (barring large amounts of snow) and I don't mind if you park on the lawn. 

 

Via 93 North: Take 93 North to exit 4, Derry/Londonderry.  Take a left off the ramp onto 102 West.  After approx 2 miles, watch for Crossroads mall on your left, the next intersection will be 102/128 Mammoth Rd.  Go through that intersection, take the next left onto Old Nashua Rd, there is a pink Mark Lawrence photography on the corner.  We are 1/2 mile up on the right, #32, across from the Greeley Rd sign.

Via Rt. 3: Do Not use MAPQUEST directions!  They will get you LOST! Take Rt. 3 North exit 1, 3A North to Hudson.  Follow the signs for 102 East in Hudson (3A merges with 102 at the town Common).  Follow 102 East through many podunk little towns (with hyperactive cops, be warned).  As you leave Hudson, 102 becomes a 55 mph road.  Watch for the Stonyfield yogurt sign on your right, the next right will be Old Nashua Rd.  We are approx  1.5-2 miles up on the left, directly across from the Greeley Rd sign.

Directions to the Location of the April Meeting 

The Meeting of the General Membership of ARISIA, Incorporated scheduled for Tuesday, 24 April 2007 at 7:30 PM will convene and be called to order at The Hidden Gem, 88 Thorndike Street, Arlington MA.  Folks are welcome to show up starting at 7:00 PM; the meeting may run as long as necessary, but quiet (a lack of raucous laughter, stomping feet, etc) must be observed following 10:30 PM (the landlord lives -- and sleeps -- a floor below).  Please arrange your own dinner; light refreshments will be provided (Merv gets out of having an honest house-cooling party this way). 

From the North, South and West Burbs:  Pick your favorite route to I-95 (MA 128) to MA 2 East.  Keep Left as you approach the Alewife junction of MA 2, US 3 and MA 16; turn Left onto MA 16 E / US 3 N (Alewife Brook Parkway).  Turn Left at your next opportunity; this is a traffic light, and you are turning on to MA 2A W / US 3 N (aka Massachusetts Avenue) into the Town of Arlington.  Follow directions below. 

From the Far North or South:  Follow I-93 to Exit 32 for MA 60 W.  As you navigate the rotary to follow MA 60 W (Salem Street), get over to the 2nd lane from the left.  Turn Left at the light in the “center,” onto MA 38 (West?  South?  Not East or North) (Main Street); cross the Mystic River and take an immediate Right onto the MA 16 W on-ramp.  Follow MA 16 W (Mystic Valley Parkway; later, Alewife Brook Parkway – Mystic Valley Parkway will break away to the right, if you don’t break away, you’re still on MA 16 W and it’s now Alewife Brook Parkway) to MA 2A W / US 3 N (aka Massachusetts Avenue); turn Right at this light to enter the Town of Arlington.  Follow directions below. 

From the Standard Greater Boston / Republic of Cambridge / Somerville and Medford Area:  Follow your favorite route to MA 2A W (aka Massachusetts Avenue West) or MA 16 (Mystic Valley Parkway in Medford / Alewife Brook Parkway in Somerville/Cambridge) to the junction of MA 16 & MA 2A.  Follow directions below. 

The Directions Below:  from the junction of MA 16 / US 3 and MA 2A / US 3, follow MA 2A W / US 3 N (aka Massachusetts Avenue West); you have entered the Town of Arlington.  Take your third Left onto Fairmont Street.  Follow Fairmont almost all the way down; turn Right at the stop sign; turn Right again onto Thorndike Street, a one-way street heading up to Mass Ave.  #88 is the second building from the corner, the door on the right.  Parking is plentiful on Thorndike and adjoining streets; there is no overnight parking in Arlington.  Please do not use the driveway; it is shared with the landlord. 

From MBTA Red Line:  Follow to Alewife.  Exit the station using the stairs or escalators in the direction of outbound travel.  Exit the station by turning right out of the turnstiles, walking past the Dunkin’ Donuts, the flower stand, the news stand, and the dry cleaner.  Walk straight out the doors and up the stairs to the Passenger Pick Up / Drop Off Area.  Continue to walk straight out to the Alewife Station Access Road; turn Right and walk along the sidewalk.  Cross the Bus Access Road, and continue up the Minute Man Bicycle Path (you have not made any new turns yet).  Follow the Bike Path over the Cambridge / Arlington town line; pass over the Alewife Brook (pause and look for wildlife if you wish); continue under MA 2; look to the right and see the tall marsh reeds; continue forward to the first opportunity to turn right after the tall marsh reeds end.  This is the very end of Thorndike Street.  Turn Right and walk up Thorndike Street two blocks.  The Hidden Gem is #88, 2nd house on the right after the Stop Sign at Herbert Road. 

From MBTA Busses:  The 77, 79 and 350 each stop at Thorndike Street.  Ring for the stop after the first stop on the Arlington side of MA 16 (Alewife Brook Parkway).  Get out, cross the street, and walk one very long block down the left side of Thorndike Street.  #88 is the 2nd house from the last before the break at Herbert Road.
