Volume 10, Issue 83 - June 1998

Minutes of the June Meeting

Time: June 14, 1998 at 2:48 PM.

Location: Building 66, MIT, Cambridge MA

In Attendance: Jeff Jordan, 'Zanne Labonville, Elka Tovah Menkes, Skip Morris, Paul Selkirk, Nick Shectman, Cris Shuldiner, Pat Vandenberg

Proxies
Ailsa Murphy to Jeff Jordan.

President's Report
The president is eyeballs deep in fixing his house, and he hasn't had lunch, so dilatory motions will result in the dilatorian being killed and eaten.

We finally have a signed contract, and I think you'll like it. It is worth noting that we've finally found an organization that seems to be more procrastinatory than we are (otherwise known as the Copley Westin).

At this point, we're turning over negotiating with the hotel to the hotel liaison. We still haven't heard who our convention services manager is going to be.

Eboard Report
We've had a request for $100 for the art show to mark their panels before loaning them to Bucconeer.

Vice President's Report
Not present.

Treasurer's Report
No report.

Clerk's Report
No report, not even the usual request for written reports. The clerk has phonographic memory, and is not shy about making up the parts that he can't remember.

Budget Committee
No report.

Arisia 1997
Not present.

Arisia 1998
Not present.

Arisia 1998 Treasury
Not present.

Arisia 1999
We're writing to the GOHs to confirm that they can switch dates.

Arisia 1999 Treasury
We have a budget, which was printed in Mentor.

FRIENDLY AMENDMENT to change all instance of the word "other" to the word "admin", except for gophers.

FRIENDLY AMENDMENT to change the gophers "other" line item ($400) to $350 for food and $50 for admin.

[At this point (about 3:10), Skip walked in, and we finally had official quorum. (Not bad for a posted 2:00 meeting time.) MOVED to ratify everything we've done up to this point in this meeting, which is basically nothing. Motion PASSED.]

MOVED to increase the film program line item from $750 to $1500. Motion PASSED.

MOVED to accept the Arisia 1999 budget as printed and amended. Motion PASSED.

Arisia 1999 Hotel Search Committee
The Arisia 1999 Hotel Search Committee is now hereby officially dissolved, seeing that their job is now done. It is immediately reconstituted as the Hotel Search Committee, with no year attached, because it's something that should be ongoing . The Arisia 1999 Hotel Search Committee is requested to turn over the materials they've built up. We're going to make an interim appointment of Matt Ringel to head that up. If anyone wants to help out on that, feel free to talk to Matt.

Corporate Inventory Control
Not present.

Corporate Sales
Still vacant.

Corporate Sysadmin
Arisia.org is now completely at the new site. I ended up doing things the hard way, but got them done, so the corporate sysadmin is now in full control of Arisia's domain. I will put out mail tomorrow that people should start using arisia.org instead of theforge.com addresses.

Records Task Force
Not present.

Long Range Planning Committee
Not present.

New business
MOVED to allocate $500 for art show maintenance and repair. (Likely to include replacing 20-40 pegboard panels, repair electrical systems, replace hooks and clips, acquire flip-lid buckets.) Motion TABLED to August meeting.

MOVED to allocate $500 to run our mailing list through the National Address Database, and to invite other conventions to piggyback for free, by concatenating their databases onto ours, and splitting out the resulting address changes. Motion PASSED.

Sort-of MOVED to hold the August meeting (Wednesday August 19) at 7:30 PM at the office of the Forge Foundation. Talked to death rather than actually voted on. Bring your own chair.

Announcements
Paul Selkirk announced his intention to seek the position of Conchair for Arisia 2000. He dismissed as pure coincidence the fact that he would have to give up the job of clerk.

We have half a dozen corporate positions open. If you know of anyone who could be coerced into volunteering for one of them in a moment of weakness, please forward their names to Jeff Jordan.

Anyone who is going to Worldcon is expected to show up and help at the Arisia party.

Meeting Adjourned at 4:00 PM.
