Notices

·         The next meeting of Arisia Corp will be held on Sept 18 at MIT building 66 at 2 pm. 

·         Dues are due by the beginning of next month’s meeting in order to be eligible to vote at the annual meeting.  Dues  ($24) can be paid in advance through Paypal at the address payments@arisia.org

·         By Arisia policy, waivers are available when paying dues is a financial hardship.  If you can’t pay dues, please email eboard@arisia.org with a brief explanation.  All requests for a waiver will be kept confidential by the eboard.  

Minutes of the August Meeting

·         President’s Report

The president is still in Texas but will be here for next month’s meeting.  Arisia ’06 hotel contract was signed.  Storage contract was signed.  See Rick for copies if you need.  

·         Vice President’s Report

Not-the-Hugos Awards ballot was presented.  All the grant information is stale, nothing is outstanding. 

·         Treasurer’s Report

Pay dues next month, or you can also pay by Paypal. At payments@arisia.org.  There’s 23500. in the corp account.

Phi adds: there is something that has to be added to the IRS tax return to get that correct.  So he’s pulling that information together.

Treasury needs sales info from A ’05 to get Mass sales tax dealt with.

Mentor got mailed.  There is a backlog of web changes tbd.  Mailbox was visited, I have mail for lots of people.  If anyone goes to the mailbox please send email to clerk@arisia.org.

All divheads  have been appointed – September Isdall is doing ops.

 Concomm meeting for September at hotel – on or about Sept 19th, not set yet. 

A few pubs say reg deadline is Sept 30th.  Move to give the A’06 committee authorization if we want to extend the $30 prereg for up to 2 weeks.  Passes unanimously. 

’06 Hotel contract is good to go.

Email from Bridget stated: Having been given a question to answer at the last meeting (please read the question if asked as printed in Mentor # 138), I must inform the corporate body:

I have no answer.

I have requested data of the past 5 years from the Eboard (see Exhibit 1 & 2). I have yet to receive this data. I fear I will be unable to finish this inquiry before the elections next month where all committies are reformed. I will continue to try and have this business done before then.

Phi has a lot of the information she needs, now has access again.  Phi will follow up.

Pipe is gone, masonite and some other things to discard or give awayd still at storage.

·         Honors

RIF has acknowledged $125 donation in memory of Bobby Gear.

·         Hotel Search

Skip reported by email: 1. We finished work on the hotel contract and it was signed.  A summary of

2. Regarding A'07 rates.  The hotel is really unwilling to budge on rates for A'07 or A'08 at this point.  Their feeling is that Arisia has had the same rates for the past six years and a $10 increase each of the next two years is not unreasonable.  My opinion is that I could live with a $10 increase the first year, but would prefer something much lower for the second.  My recommendation is we work towards a single year deal for A'07 with the $10 increase, then talk later on subsequent years. Other than rates, the existing contract could probably be used for A'07 as is.

3. We're penciled in at the Park Plaza for the following dates: January 11-15, 2007, January 17-21, 2008, January 15-19, 2009, January 21-25, 2010

Note that for 2010, the American Library Association already has the entire city (ie, every major hotel) booked for MLK weekend, so I grabbed the weekend afterwards. There is already authorization for Skip to do the negotiations with the hotel.

Discussion about 1 yr contract vs 2 year contract:  Skip feels there is negotiating room.  Also – have they really solved the construction, service issues?

Moved to authorize eboard to sign contract for 1 year subject to Skip’s negotiation and conchair (Joel)’s approval … (this is not needed, it is a sense of the corporation motion).  Passes many to 2.

2010 - Weekend after because we’ve been as late as the 20th and 21st before.  The weekend before would be too early, cause problems organizing the con in December.

·         Old business

Move to take bylaws off the table.

Move to limit debate to 30 seconds ruled out of order.

Move to amend by replacement with Skip’s amendment.  Fails 1 to many.

Discussion led by Alex.  The bylaws amendment as published in Mentor passes, 12 in favor 5 opposed. New bylaws amendment is:

MOVED to  add a new section 3.10  to Article 3: Officers and Elections:

Any officer who does not attend three corporate meetings in a row without submitting an explanation which is accepted by the membership is deemed to have resigned from their position.  The vacant position may be replaced as per the other parts of the bylaws.

Membership/Subscription Information

Subscription to Mentor of Arisia is included with Corporate Membership to Arisia, Incorporated.  Membership runs from September 1st to August 31st and costs $24.  Dues are pro-rated on a monthly basis for members joining during the year.

Directions to September Corporate Meeting

Directions to MIT can be found through MIT or through www.arisia.org/corp/directions.html.   The nearest T stop is the Kendall Sq. stop on the Red Line.

Parking: The closest parking lot opens onto Main St.  It is usually possible to get a space in there at our meeting times.

Building 66 is a triangular building on Ames St.  If you enter through the point, we are usually in the first classroom on the left, room 168.
